OXFORD CAR SERVICE INC – TERMS AND CONDITIONS OF SERVICE

Refund & Cancellation

  • Refunds: Payments are non-refundable except as stated in the Cancellation Policy below.

  • Cancellation Policy (standard trips):

    • More than 30 days before the scheduled date: cancel within 24 hours of booking for a 50% refund.

    • 14–30 days before: 50% cancellation fee.

    • Fewer than 14 days: deposit is forfeited and considered earned.

  • Special Events (holidays, proms, concerts, sporting events, etc.): Deposits are non-refundable. For cancellations within 30 days of the event, the deposit is considered full and payable.

  • How to cancel: Cancellations must be in writing via email and are effective only when confirmed received by our staff.

Airport Transportation (Point-to-Point)

  • Airport trips are point-to-point within our service area with no intermediate stops; subject to availability.

  • Grace period: We allow 15 minutes from your requested pickup time (or our arrival if later). After 15 minutes, overtime is billed at our standard hourly rate.

Overtime / Wait Time

  • Overtime begins after the first 15 minutes past the scheduled time and is billed at the regular hourly rate(standard minimums/increments may apply).

Vehicle Capacity & Substitutions

  • Vehicles cannot exceed seating capacity.

  • Specific vehicle models may be requested but are not guaranteed. A vehicle of equal or greater passenger capacity may be substituted.

  • Oxford Car Service Inc. may utilize qualified affiliate partners at our discretion.

Conduct, Prohibited Acts & Termination

  • Smoking is not permitted in any vehicle. Evidence of smoking triggers a $2,000 odor-neutralization fee.

  • Drug use is prohibited by law. Any fines or penalties are the client’s responsibility.

  • Sunroof: Standing through or opening the sunroof is not permitted.

  • The chauffeur may terminate service without refund for blatant indiscretion, unsafe behavior, or violations of these terms.

  • Alcohol & minors: Anyone under the legal drinking age may not consume alcohol at any time.

Damage & Cleaning Fees

  • The client is financially responsible for damage caused by the client or any member of the party, including:

    • $1,000 per carpet or seat burn

    • Bodily Fluids: $3,550 cleaning fee for sickness/soiling (interior or exterior)

    • $20 per broken glassware

Delays, Breakdowns & Lost Items

  • We are not responsible for delays or trip termination due to unsafe road conditions, weather, accidents, or events beyond our control.

  • In the event of a mechanical breakdown, our responsibility is limited to making up lost time on a mutually agreed date.

  • We are not responsible for items left in any vehicle.

Payments

  • Any outstanding balance is due before the trip begins (cash to the driver on the day of service) or no later than 24 hours prior if paying by credit card.

  • By submitting a reservation online, you confirm you are authorized to charge the provided card and agree to all charges and these terms.

Reservation Consent

  • Electronic submission (online reservation/contract) or mailed contract with credit card deposit constitutes full agreement to these terms.

Governing Law & Attorneys’ Fees

  • This agreement is governed by the laws of the State of Mississippi. If any provision is unenforceable, the remaining provisions remain in effect.

  • In any action to enforce these terms, the prevailing party is entitled to court costs, reasonable attorneys’ fees, and expenses.
