Oxford Car Service Inc Terms of Service
1) Definitions
“Transfer / Airport Transportation” means a point-to-point ride within our service area with no stops unless expressly approved in writing. Service is subject to availability.
“Charter / Hourly Service” means transportation billed by time reserved.
2) Transfer Pickup Timing and Grace Period
For Transfers, Oxford Car Service Inc allows 15 minutes from your scheduled pickup time (or our arrival time if we arrive after the scheduled pickup time) for passenger loading and departure. After the 15-minute grace period, overtime charges may apply at the applicable hourly/overtime rate.
3) Cancellation Policy
All cancellations must be submitted in writing by email to [[email protected]] and are not effective until confirmed received by an Oxford Car Service Inc representative.

Full refund (24-hour window): If you cancel within 24 hours of booking and your reservation date is more than 30 days away, you will receive a full refund.

14–30 days before pickup: A $100 cancellation fee will apply.

Less than 14 days before pickup: Your deposit is forfeited and may be treated as the full amount due (as applicable to the reservation type).

Special events: Deposits are non-refundable for special events (including, but not limited to: holidays, proms, concerts, sporting events, and similar high-demand dates). For special events canceled within 30 days of service, amounts paid may be treated as full and payable.
4) Mechanical Breakdown
Oxford Car Service Inc is not liable for delays or service interruption due to mechanical breakdown. If a breakdown occurs, our responsibility is limited to attempting to provide a replacement vehicle when feasible and/or making up lost time on a mutually agreed date when applicable.
5) Damage, Cleaning, and Conduct
The client assumes full financial responsibility for damage caused by the client or any member of the party.
Fees may include (where applicable):

$1,550 for sickness/vomiting (interior or exterior)

$20 per broken glass item (if provided)
Drug use is prohibited by law. Any fines or penalties arising from illegal conduct will be the responsibility of the client. The chauffeur may terminate service without refund in the event of unsafe, illegal, or disruptive conduct.
6) Safety Rules

Standing through a sunroof is prohibited and the sunroof may not be opened during service.

Smoking is not permitted in any Oxford Car Service Inc vehicle. Evidence of smoking will result in a $2,000 smoke neutralization fee.
7) Overtime
Overtime may apply after the grace period or after the pre-arranged service time listed on your confirmation/run sheet, billed at the applicable overtime rate.
8) Weather and Road Conditions
Oxford Car Service Inc is not responsible for delays, route changes, or service termination caused by unsafe road conditions (including, but not limited to: ice, un-salted roads, road closures, accidents, or severe weather).
9) Vehicle Substitution and Subcontracting
Oxford Car Service Inc reserves the right to substitute vehicles from our fleet or qualified subcontractors to complete your trip, including providing a vehicle of similar or greater passenger capacity.
10) Payment Terms
Any remaining balance is due:

Before service begins on the service date if paid in cash; or

At least 24 hours prior to service if paying by credit card (unless otherwise agreed in writing).
11) Seating Capacity
Vehicles may not be loaded beyond their legal seating capacity.
12) Alcohol and Minors
No person under the legal drinking age may consume alcohol at any time during service. Parents/guardians are responsible for the behavior of minors. Violations may result in immediate termination of service with all monies paid forfeited.
13) Requested Vehicle Types
For Transfers, specific vehicles may be requested but are not guaranteed. Oxford Car Service Inc will make reasonable efforts to accommodate requests; however, a comparable or larger vehicle may be substituted if needed.
14) Authorization and Acceptance
By submitting a reservation online, by email, by phone, or by signing/accepting an estimate or invoice, you represent that you are authorized to use the payment method provided and you agree to these Terms of Service. Electronic submission and/or payment constitutes acceptance of these terms.
15) Governing Law and Attorneys’ Fees
This Agreement shall be governed by and construed under the laws of the State of Tennessee. If any provision is found unenforceable, the remaining provisions shall remain in effect. In any action to enforce this Agreement, the prevailing party is entitled to recover court costs and reasonable attorneys’ fees and expenses.
Messaging Terms & Conditions (SMS)
By providing your phone number, you agree to receive informational messages (appointment reminders, scheduling updates, account notifications, etc.) from Oxford Car Service Inc. Message frequency varies. Message and data rates may apply.

No mobile information will be shared with third parties/affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be sold, shared, or provided to any third parties.

- When we use Google Maps Platform APIs. We may share your information with certain Google Maps Platform APIs (e.g., Google Maps API, Places API). Google Maps uses GPS, Wi-Fi, and cell towers to estimate your location. GPS is accurate to about 20 meters, while Wi-Fi and cell towers help improve accuracy when GPS signals are weak, like indoors. This data helps Google Maps provide directions, but it is not always perfectly precise. We obtain and store on your device (“cache”) your location. You may revoke your consent anytime by contacting us at the contact details provided at the end of this document.
- Affiliates. We may share your information with our affiliates, in which case we will require those affiliates to honor this Privacy Notice. Affiliates include our parent company and any subsidiaries, joint venture partners, or other companies that we control or that are under common control with us.

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track (“DNT”) feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.
